- Determine Needs and Objectives
Be prepared to discuss what you want your printed piece to accomplish, your target audience, your budget, and the piece's useful life. We can help you determine the size (dimension and number of pages), format, and quantity produced. This will affect the design, cost, and turnaround time.
Plan ahead. Contact an Account Manager as soon as you know of an upcoming need, so that you may be informed of the time necessary to complete the project.
- Get Estimates and Timelines
An Account Manager will contact our Production Manager to get estimates and timelines. Turnaround times are based on several factors including number of proofs required, text and design revisions. In order to provide an estimate, the Production Manager will need the following information: contact name, department, phone number, fax number, email, desired delivery date and quantity.
- Proof and Edit Text
Submitted text will be proofread by the Office of Communications for style, spelling, and grammar, in addition to accuracy regarding general information on the University. You will be responsible for content accuracy. Once your copy has been edited and proofed, it is then ready for the design stage.
- Publications Project Submission Checklist
Text: Provide both a hard copy (printout) and an electronic document (Microsoft Word) via email, CD, or diskette of the text for your publication. Please do not format the text (tabs, justification) and avoid typing in ALL CAPS. For writing services, contact the Office of Communications at 305-348-3805.
Photography/Graphics: Hi-resolution (300 dpi) digital photographs are preferred. We also accept photographic slides, transparencies or prints, which will need to be scanned at an additional cost. Graphics (illustrations/logos) should be submitted as hi-res (300 dpi) Adobe Illustrator or Photoshop eps or tiff files. For photography services, contact the Photography department at 305-348-2983.
Distribution/Mailing Information: Determine how your project will be distributed and delivered (i.e., mail house, postal service, university internal services). University - approved vendors available upon request.

- Design
University Departments are pre-assigned to each designer to maintain brand consistency. Throughout the entire design process the client's needs and objectives are taken into account. The design process will include your input on the overall style of the publication (institutional, contemporary, etc.), size, format, length (# of pages), colors, and images.
- Proofing
The initial design is provided as a proof to the client - who indicates changes until the piece is finalized. It is extremely important for you to take the time to carefully read and review all elements of the piece for accuracy including: text (body copy, headlines, photo captions, sidebars, etc.), photographs, size, format, colors, etc. You are responsible for the correct spelling of names, contact information (telephone numbers, emails, websites, addresses, etc.) and any other information specific to your area. It is most cost-effective to "proof" your text before you submit it to Publications, as time spent correcting copy will increase the cost of your project.
- Printing & Delivery
The Office of Publications works closely with printers to maintain quality control and timely delivery.
- Billing
Once the project is complete, the design and printing costs are billed in accordance to actual time spent on the project, the materials used and the printers' final invoice.
- Processing of Funds
Once the project is finalized and billed, all requisitions and/or university invoices involved are processed.
- Archiving
The final step of the process is to archive the printed project for future use.
