
The following describes cataloging procedures for urban, regional, and local documents (URLD)
for both
monographs and serials and for both campuses. Kass Evans, Head of Cataloging at University
Park, will act as the overall coordinator and resource
person for the cataloging portion of the project. Other responsibilities including those
of Government Documents staff are described below.
Monographs: Minimum-level descriptive cataloging will be done for each monograph title directly into LUIS. Records will not be added to the OCLC database because many of these items do not circulate and OCLC use would require more complicated procedures. The monographic records will be created by Jennifer Fu at the University Park campus and by Elaine Winske at the North Miami campus or by staff under their supervision. Kass will provide the initial training and continuing support for the cataloging. Jennifer and Elaine will add classification numbers according to the scheme they devised and keywords according to the thesaurus which they devised and will maintain.
Personal and corporate name and series headings will be checked in LUIS to see if they have been established. If the heading has not been used previously, it will be added to the record using AACR2 guidelines which will be provided by Kass. The authority file will not be checked for minimum-level records. Any names or series that are known to have changed or that need cross- references to provide adequate access will be routed to Kass.
Serials: Serials will receive full-level cataloging in OCLC by John Radencich at the University Park campus and Nancy Hershoff at the North Miami campus. They will also create the holdings record. After being cataloged materials will be routed to Jennifer and Elaine who will add their local classification number and may add key words if desired.
Item records: Item records will be created for all volumes by Elaine and Jennifer or students under their supervision.
